Challenge & Solution
The Problem We Solve
The Challenge
Hospitals rely on unsecured WhatsApp/Telegram groups for staff communication. Patient data is shared insecurely, messages get lost in threads, and read receipts are unreliable. Critical clinical communication has zero regulatory compliance.
The Solution
The Internal Messaging module replaces unsecured apps with a secure, hospital-hosted messaging network. It supports role-based group formation, direct messaging with read receipts, priority flags (Urgent/Stat), and file/EMR attachments, all stored on a secured server with complete audit trails.
Key Features
What It Does

Role-Based User Directories & Groups
Automatically syncs staff master data to create dynamic groups (e.g., Cardiology Dept, Night Shift Nurses, Emergency Team). Users can search the directory by name, department, or designation to initiate secure chats instantly.

Read Receipts, Priority Flags & Escalation
When a Stat or Urgent message is sent, the system tracks delivery and read time. If the message is not read within a configurable timeframe (e.g., 5 minutes), it automatically escalates to SMS alert to the recipient's phone, ensuring urgent clinical instructions are not missed.

Secure File & EMR Attachment Sharing
Staff can securely attach patient charts, diagnostic images, or EMR records directly within the chat message. The system enforces RBAC (Role Based Access Control) so users can only view attachments relevant to their patient roster.

Broadcast Announcements & Policy Updates
Admins use the Broadcasting tool to send hospital-wide policy updates, emergency drills, or shift changes. All recipients receive a mandatory read verification, and non-readers are flagged for follow-up.

Complete Conversation Archiving & Audit Trail
All internal conversations are archived in the hospital server for legal and clinical governance. Admin has export permissions to export department communications for NABH clinical handover audits. No data is stored on third-party social media servers.
Workflow
How It Works
-
Step
1Step 1: Clinician opens the Internal Messenger module integrated into the HIS desktop/mobile app.
-
Step
2Step 2: Clinician selects a recipient/group from the LDAP-synced directory. Composes a message and optionally attaches a patient chart.
-
Step
3Step 3: For Urgent messages, sets Priority to "Stat". The message is delivered instantly over TCP/IP.
-
Step
4Step 4: Recipient receives a pop-up/notification and reads the message. The system marks "Read" and logs the timestamp.
-
Step
5Step 5: If unread, the escalation timer fires an SMS back-up to the recipient's phone.

FAQ
Frequently Asked Questions
Can staff chat from their personal phones?
Yes, we offer a companion mobile app for the hospital's secure network. The app works on iOS/Android and uses the same RBAC, ensuring no patient data is stored on the personal device memory.
Can external vendors be added to the internal messaging?
For security, external vendors cannot be added. However, we have a "Secure Guest/External" channel with limited permissions for external equipment engineers requiring remote coordination.
